Moving your business is a time of change for both your staff and your customers. You will want to be able to maintain communication with your customers throughout and keep your staff motivated as well.

At TEAM Allied, we understand how important it is to move your business efficiently, keeping disruption and downtime to a minimum.

A successful move is all about planning and preparation. We can help you to plan and prepare for your move with professional advice and practical tips from our personnel who have been guiding customers through their relocations for years.

a. Planning an Office Relocation

When you have decided to relocate, you should begin planning immediately. We believe that the key to a successful relocation is good planning, preparation and management and begin the planning process by looking at all of the elements involved in your relocation, and working through a comprehensive checklist.

An overview of our planning process is outlined below.

(1) Assess your requirements
We visit your current premises and assess your requirements. We look at the premises you are moving from and the premises you are moving to. We work through a checklist to ensure we have covered all aspects of your relocation.

(2) Carry out a survey and provide a quotation
We then provide you with a written quotation based upon your specific criteria and the elements involved in your relocation.

(3) Planning meetings
Depending upon your identified moving requirements, we will arrange an initial planning meting to talk through your move and begin to draw up the schedule and move program. We then hold regular meetings to refine the move program until the project commences Contingency planning is also important. We make sure this is in place in order that you are prepared for any event.

(4) Personnel briefings
Your personnel need to be involved in the moving process - it is a time of change for them too! We hold briefing meetings with your personnel, and provide them with information packs to help get them ready. The packs include information on packing and labeling cartons, and packing safely.

(5) Single point of contact
You will have a single point of contact throughout your relocation, giving a clear information flow and management chain. This is especially important if we are managing other contractors for you.

(6) Review
When your relocation is completed, we meet with you to review the move.
Service is important to us, and we look at the quality and service standards we set with you, to ensure that they have been met.
We also take the opportunity to discuss any other requirements you may have, either now or in the future.


b. Managing Office Relocations

All relocations require an element of move management, and this is an integral part of the TEAM Allied service offering.

A Move Manager will be involved from the beginning of your relocation (depending on the size of your relocation) - at the planning stage - writing the move program with you, and attending planning meetings.

He or she will also look at the physical aspects of your relocation - the resources required, and any additional services we are providing for you that will need to be coordinated.

Depending on your requirements, you will have a Move Manager on-site throughout your relocation, or it may be one of our experienced supervisors. They will be your dedicated point of contact, managing your relocation from start to finish, and coordinating other subcontractors as necessary.

When your relocation has been completed, we will arrange a review meeting with you. This is an opportunity to look at how the relocation was carried out, and review the service standards we agreed with you. This process is a fundamental part of our customer satisfaction program.

c. Project Management

Large relocations and projects involving many staff, equipment, or specialist items, require continuous, dedicated on-site management. In some cases we also co-ordinate and manage other sub-contractors for our customers. This shows how we can change the pages by just typing into them.

TEAM Allied has a number of experienced Project Managers who are dedicated to providing these services. They are experienced in managing large contracts for all types of industry, and will be the key Account Manager for your relocation.

Your Project Manager will go through the planning process with you, holding regular meetings to review the move and update the work schedules. We anticipate that during a major relocation we will have to undertake some contingency planning, and review the work schedules regularly.

We also audit our service levels, and look at the agreed standards to ensure that we are meeting your targets and our own. Customer service is a large part of project management, in order for the relocation to be successful, we have to maintain the standards that we set, and achieve your objectives.

d. Offering on-Site Services

If you have a large site or several locations in one area, and need to relocate staff, furniture or equipment in or between them, we can provide a range of services to meet your moving requirements.

We can offer:

     Dedicated Move and Project managers
     Operational resources
     Vehicles and drivers
     Technology Management services
     Furniture dismantling and re-assembly
     Space planning
     Records Management and document storage
     Maintenance

We assess the requirements of your business, and plan weekly or daily schedules to meet your objectives.

We then agree a set of service levels and quality standards with you to enable us to monitor and review the services we provide to you. The quality standards form part of our customer service criteria.

By planning and scheduling ahead, we build in contingency measures in case plans need to change at short notice.

At regular intervals, your Move or Project Manager will attend review meetings with you, to discuss the quality standards. We also provide management reports and a service analysis which we discuss with you to ensure that we are meeting both your targets and ours.
